Job Description:
We are seeking a highly organized and creative Wedding Planner Assistant to join our dynamic team in the thriving pharmaceutical industry as we expand our offerings to include exquisite wedding planning services. The successful candidate will support our lead wedding planners in executing memorable and bespoke weddings that reflect the unique vision and preferences of our clients. This position requires a passion for event planning, exceptional interpersonal skills, and a keen eye for detail.
Key Responsibilities:
- Assist in the planning and coordination of weddings from inception to completion, ensuring that all aspects align with the clients’ vision and expectations.
- Collaborate with vendors such as florists, caterers, photographers, and venues to secure contracts and negotiate services while maintaining budgetary constraints.
- Conduct site visits with clients and vendors to evaluate potential venues and provide input on layout and design elements.
- Maintain a detailed project timeline, ensuring that all tasks are completed on schedule and within budget.
- Communicate effectively with clients, responding to inquiries and providing updates throughout the planning process.
- Assist in the creation of wedding design proposals, including mood boards and timelines, to visually represent the client’s desired theme and style.
- Attend weddings and events to support lead planners in executing logistics, managing schedules, and troubleshooting any issues that arise on the day of the event.
- Help in coordination of rehearsals and final run-throughs to ensure a smooth transition from planning to execution.
- Maintain accurate records of all wedding-related documents, including contracts, budgets, and correspondence.
- Stay updated on the latest wedding trends and best practices, contributing innovative ideas to enhance our service offerings.
Qualifications:
- Bachelor’s degree or equivalent in Event Management, Hospitality, or a related field is preferred.
- A minimum of 2 years of experience in event planning, hospitality, or a related industry.
- Strong organizational and multitasking skills, with the ability to manage multiple projects and deadlines.
- Excellent communication and interpersonal skills to effectively liaise with clients, vendors, and team members.
- Creative problem-solving abilities and a proactive attitude towards challenges.
- Proficient in Microsoft Office Suite and familiar with event management software.
- A passion for weddings and a keen interest in the latest trends and styles in the wedding industry.
